The Document Imaging Management Process Starts wth Paper Copies

The process of implementing an electronic document management system involves more than the electronic copies of those documents. GBS also has a detailed process to handle the organization, management and disposal or return of the paper documents after they have been scanned and digitized.

Step 1: Choosing the location

GBS can either pick up your documents and take them to their secure scanning location or send a trained professional, with equipment, to your facilities to scan on-location.

Step 2: Constant access

GBS understands that your documents are vital to your business, and business doesn't have to stop just so you can secure your files.  During the electronic document management process, you always have immediate access to any document we are working with, even if that document is on location at our scanning facility. We will instantly scan and fax or e-mail any document for which you have an immediate need.

Step 3: Documents scanned and backed-up

The documents will be scanned with our document imaging management system.  If requested, GBS will provide your company with electronic copies of the files, as well as securely storing electronic copies in retrievable form (CD-ROM, DVD, or Portable Hard Drive) in our facilities.

Step 4: Hard copy return or disposal

GBS will provide on-site storage at our secure document management facility until you direct us to securely destroy the hard copies or return them to you. If you choose to destroy the hard copies, we will do so immediately and certify the destruction of those documents. If you would like the documents returned, we will gladly drop them off at your location at a specified time.
